Description

Responsible for providing high-level administrative support to the CEO and other Executive staff.

Tasks

  • Provides high-level administrative support and assistance to the CEO and/or other assigned leadership staff.
  • Performs clerical and administrative tasks including drafting letters, memos, invoices, reports, and other documents for executive staff.
  • Arranges travel and accommodations for executives.
  • Schedules and attends meetings on behalf of executives, taking notes and recording minutes.
  • Receives incoming communication or memos on behalf of senior staff, reviews contents, determines importance, and summarizes and/or distributes contents to appropriate staff.
  • Performs office tasks including maintaining records, ordering supplies, etc.
  • Maintains the organization website.
  • Organizes filing systems for historic preservation of meeting minutes and pertinent organizational information.
  • Organizes and maintains board of directors information, meeting minutes, by-laws and other related materials and information.
  • Independently uses problem solving techniques to resolve issues related to the completion of duties.
  • Performs tasks relate to regulatory audits and compliance.
  • Assists with the marketing budget and marketing efforts including but not limited to, maintaining organizational social media accounts, promotional items, business cards, letterhead, etc.
  • Oversees organizational contract management including review, updates, and keeping the CEO apprised of changes and renewals.
  • Maintains access and oversight to the SAM.gov and Grants Gateway grant access points.
  • Maintains and oversees the preparation for regulator site visits, such as HRSA.
  • Assists human resources with tasks such as filing, event planning, employee recognition, credentialing and privileging, tracking of training, etc.

Qualifications / Education

EDUCATION/EXPERIENCE
 
  • High School Diploma or equivalent required
  • Bachelor’s degree in business administration or related field preferred
  • A minimum of four years of related experience
