Description
Responsible for providing the highest standards of hospitality and customer service for the organization ensuring callers are directed to the appropriate service or individual; Ensures that visitors are greeted and assisted in a professional, helpful manner; works with the Marketing/Communications Department to ensure the brochure racks in all locations are kept current, and maintains a database to track marketing materials. The incumbent provides clerical support and assistance to the Director of Marketing and the Administrative Support Team: interact with other reception staff and, with the assistance of the Admin. Assistant/Grants Coordinator and the Admin. Support Manager, ensure that a best practice model is being followed. Provide backup support to the Van Driver as needed.
Tasks
- Efficiently routes calls and operates paging system; maintains case management coverage log daily.
- Answers switchboard professionally within 4 rings; delivers accurate messages and maintains confidentiality.
- Greets visitors hospitably; responds to crisis alarms; secures front doors at 4:30 pm unless requested otherwise.
- Sorts and distributes mail; coordinates bulk mailings; monitors postage meters and logs incoming checks.
- Manages petty cash; processes copy jobs, faxes, and orders floral and coffee gifts as requested.
- Supports Marketing Director; updates communication materials across Erie and Crawford Counties; tracks distribution.
- Reviews local news for mental health articles and staff notices; maintains event registration and prepares name tags.
Qualifications / Education
- High school diploma or equivalent, formal clerical or secretarial skills training program outside of high school
- Two (2) years experience in an office environment with responsibility for general clerical tasks
