Executive Administrative Assistant

Description
Assist CEO with all administrative tasks including, but not limited to, answering phone calls and taking messages, welcoming visitors and interacting with them, managing CEO schedule and appointments, arranging meetings, managing mail/fax communication, etc. Complete and maintain meeting minutes for various meetings including Management, Corporate Compliance, Board of Directors, etc.
Tasks
- Assist with planning and organizing events, clinics, fundraising activities, etc.
- Create or edit flyers, posters, memos, press releases, and staff announcements as needed.
- Organize and maintain filing system; assist CEO with follow up on pending action items.
- Create and prepare mailing database for various mailings.
- Maintain compliance logs and follow up to get updated contracts, liability and insurance info.
Qualifications / Education
- High school graduate or equivalent; Bachelor's degree preferred
- Knowledge and experience with Word, Excel, Publisher, Adobe, Outlook, etc.
- Ability to effectively communicate with staff, residents, and visitors
- Personal attributes: Neatness, accuracy, attention to detail, proven integrity, capability of upholding strict confidential matters
- Ability to maintain a professional attitude, and the ability to interact with residents, visitors, employees and business professionals in a courteous, friendly manner.
