Description
Perform duties with considerable initiative and independence, especially as it relates to providing administrative support. This position is responsible for the successful operation, function, and work flow of the administration office. Performs clerical and secretarial tasks with specific attention to accuracy, detail and professionalism. Assists with and coordinates projects related to facility compliance.
Tasks
- Types reports, meeting minutes, and correspondence for admin and compliance purposes.
- Manages admin projects, edits drafts, and gathers info for licensing surveys.
- Acts as receptionist for Administrator: scheduling, inquiries, minor decisions.
- Designs reports/newsletters to highlight key info and improve readability.
- Maintains manuals, records, and alerts admin to trends or concerns.
- Represents admin on committees; compiles data for studies and updates files.
- Handles copying, faxing, staff follow-ups, and manages stress under pressure.
Qualifications / Education
- High school diploma or equivalent is required, with a focus in business or any equivalent combination of experience and training which provides the required knowledge, skills and abilities.
- Experience in clerical work, preferably in a large organization which included taking notes of meeting, preparing minutes and taking and transcribing dictation prefered. Should have a general knowledge of office procedures.
- Customer and personal service with knowledge of principles and processes for providing excellent customer and personal services.
- Must have the ability to read, write, and follow oral and written directions at a level necessary to accomplish the job.
- Recognizing and being sensitive to resident and family concerns, stressors during time of admission or financial difficulty.
- Knowledge of relevant equipment, policies, procedures, and strategies to promote effective local, state, or national security operations for the protection of staff and residents, data, and the Facility as a whole.
- Ability to perform basic mathematics.
- Ability to give full attention to what others are saying. Taking time to understand the points being made, and asking questions, if appropriate. Ability to hear and respond to resident call bells.
- Ability to communicate effectively across the organization. Includes the ability to read, comprehend, and interpret documents such as safety rules and procedure manuals and the aptitude to write routine reports and correspondence. Ability to speak effectively and be understood by others.
