Description
The Fleet Coordinator is responsible for coordinating the purchase and/or lease, maintenance tracking and monitoring of all delivery vehicles and other mobile equipment. This position is accountable for clear, timely communication and paperwork for fleet related reports to Senior Management and the Insurance carrier.
Tasks
- Plans, coordinates, and supervises the process for ordering new fleet vehicles and/or mobile equipment, whether leased or purchased. Provide leasing companies with mileage & fuel information, related to certain trucks with Apportioned License Registration. Preparation of the vehicle and equipment yearly leased rental and fuel budgets. Monitors and tracks fuel usage for various fuel card programs. Data entry of monthly fuel use per vehicle in Access Database. Management & utilization of the company-wide Fuel Card Program with various fuel suppliers. Monitor & address areas of concern with the company’s safety rating through the FMCSA portal. Monitor, track, and report on all Department of Transportation FMCSA violations for the corporation. Maintain and obtain new or renewing permits, for delivery vehicles operating under DOT authority. Maintaining up-to-date registration, insurance, and licensing on vehicles. Data entry of odometer readings in Vehicle Tracking Database. Review, approval and coding of all vehicles, equipment, and maintenance related invoices, for submission to AP. Management & utilization of the PA Turnpike EZ Pass account. Maintain up-to-date, fleet and mobile equipment lists, with all pertinent information. Work in conjunction with the Maintenance Shop for maintenance performed on vehicles and equipment. Maintain inventory of maintenance parts ordered for vehicles and equipment. Data entry of all maintenance services and costs in Vehicle Tracking Database. Review and confirm statement invoices are accounted for in AP system. Maintain GPS Fleet Platform with updates related to vehicles, service schedules, inspection, odometer readings, driver’s ELD logs, reports, troubleshooting, etc. as needed. Maintain various required fleet permits on delivery vehicles, with reports due monthly, quarterly, or yearly, depending on type. Participates in the Annual Driver training and education program.
Qualifications / Education
- High School Diploma required, Associate Degree preferred. Prior experience in fleet management preferred. Prior experience in the industry or general knowledge of the construction industry is preferred but not required.
